Website visits

The website is designed to work without advertising trackers or non-essential cookies. Our hosting provider, Cloudflare, may process technical request information such as IP addresses and browser details to deliver and protect the site. See Cloudflare’s privacy policy for its information.

Website enquiries and HubSpot

When you send the enquiry form, your name, email address, business, optional website, optional discovery source and project details are submitted to HubSpot, our customer relationship management provider. We use the record to review and respond to your enquiry and send the brochure you requested. An enquiry is not an agreement to receive an unrelated newsletter. See HubSpot’s privacy information for details about its processing.

The form displays confirmation after your enquiry is safely saved by HELIX’s Cloudflare service. It then forwards the record to HubSpot and sends your requested confirmation through Resend, including the brochure and an optional consultation link. Replies go to [email protected]. Cloudflare Turnstile checks submissions for spam and processes technical information such as your IP address; short-lived hashed identifiers also limit repeated requests. Completed delivery records are removed from the delivery queue after 30 days. If delivery needs investigation, we retain the record until it is resolved. See Cloudflare’s privacy information and Resend’s privacy information. Please avoid sending sensitive or confidential information in the first enquiry. The form does not add advertising cookies or save your details in browser storage.

The website planner

The planner processes answers locally. Copying a brief puts it on your clipboard. Choosing Send this brief temporarily stores the brief in this tab’s session storage so it can be added to the enquiry form. The saved copy is removed when the enquiry page reads it and expires for use after one hour. Nothing is sent to HubSpot until you review your details, agree to the enquiry communication and submit the form.

Consultation bookings

If you choose to book, the scheduling page is hosted by HubSpot. It processes your booking details and connects the meeting to our calendar. Calendar invitations, changes and reminders relate to the meeting you requested. The booking page has its own privacy and cookie controls; it does not load until you follow the booking link.

When you email HELIX

We use the information you send to understand and respond to your enquiry, prepare a proposal and manage any resulting work. We rely on steps at your request before a contract, performance of a contract where relevant, and legitimate interests in managing business correspondence. We do not add an enquiry to a marketing list merely because you contacted us.

Access and retention

Information may be processed through the email and business tools used to handle your enquiry and project. We keep it for the time needed to deal with the enquiry, deliver agreed work and meet applicable record-keeping obligations. Ask us for information about the tools, transfer arrangements or retention applicable to your enquiry before sending sensitive material.

Your choices

Depending on the circumstances, you can request access, correction, deletion or restriction of your information, or object to certain uses. Email us to make a request. You can also raise a concern with the Information Commissioner’s Office.

Changes

If we introduce new forms or analytics that change how information is processed, we will update this information and apply any consent controls that are required.
